Hospitality FP&A for groups where every property keeps its own books

Corporate asks each hotel for its numbers, someone rebuilds the pack in Excel, and labor gets planned in a different file from the occupancy it depends on. We set up the model every property feeds instead.

6 hotels, with 5 sets of books at the Chicago property. Reporting, budgeting and forecasting in Vena.

One property, one set of books, and a budget that already holds together? This page won't add much. Start with the budget or the close.

Where does hotel FP&A break down?

Usually at the point where each property, outlet or entity is planned in its own file. A better spreadsheet won't fix that.

  1. Every property is its own company. Separate books, sometimes several sets in one building, and corporate has to ask each one for its numbers.

  2. Every outlet plans differently. Rooms, food and beverage, spa, golf and retail run on different drivers, so one budget template never fits all of them.

  3. Labor moves with occupancy. The biggest cost you control depends on a number that changes every week.

  4. The operating data lives outside the ledger. Revenue management, point of sale and daily reports sit in their own systems, so the forecast starts with a copy and paste.

  5. Owners, management and lenders each want their own pack. Same numbers, different cuts, each one rebuilt by hand.

11 of the 55 companies in our review of sales calls (September 2026) named having no clean source for their numbers. In a hotel group, that source is split across every property.

What hospitality finance teams say

Reports for senior management at the click of a button, not rebuilt by hand in Excel

“Nobody needs to prepare that report manually in an Excel. The data all lives in the system and the report is written and mapped. So with click of a button, it will just produce those reports as we need.”

Questions from hospitality finance teams

Can Vena handle hotels that each keep their own books?

Yes. Trump Hotels runs six hotels, and the Chicago property alone holds five sets of books. MCC mapped the reports corporate needs into each hotel's Vena database, so each hotel's reports run without a manual Excel pack. Each property keeps its own books. Corporate stops chasing them for numbers.

Does our PMS, POS or revenue management data have to move into Vena?

Not all of it. Actuals come from the general ledger, and operational data comes in where the plan depends on it. At Trump Hotels that meant a daily data feed from Data Plus into Vena. Which systems to connect, and how often, is something we work out with you on the first call.

Do we have to roll it out to every property at once?

No, and usually you shouldn't. Trump Hotels rolled out one hotel at a time across all six properties, with hands-on support for each director of finance at their own pace. One property going live first gives you a working template, and the next property starts from it.

Is this only for hotels, or restaurant groups too?

Restaurant groups too. Oliver & Bonacini Hospitality, a restaurant and catering group in Toronto, already ran Vena and asked MCC to fit it to how a hospitality business plans and reports. Restaurants, catering and hotels share the same problem: many outlets, each planned a little differently, and one plan the owners expect to see.

How long does it take, and how much of our team's time?

The foundation takes five business days once readiness is confirmed. Your next month-end or forecast is the first real cycle, and tailoring runs over the weeks after. On your side: you own access and exports, answer mapping questions fast, ideally the same day, and run the first cycle with us beside you.
